Head of Operations

Mereo Ltd, subsidiary of the Evaco Group is looking for a Head of Operations to join its team.

The services provided include Sourcing, Procurement, Global Supply, Logistical services, and Warehousing facilities.

Job Purpose

The Head of Operations will contribute to the success of Mereo Ltd by managing the company activities with a reporting to the Deputy – CEO of Evaco Group by coordinating, directing and planning the business’ daily operations as well as manpower

Generic Duties:

  • Work in close collaboration with the Deputy – CEO in planning short- and long-term projects, budgets, expense controls, schedules, and manpower.
  • Implement quality and productivity objectives to achieve company goals.
  • Oversee and direct all services provided by Mereo Ltd to the Evaco Group, its subsidiaries and external customers.
  • Prepare the annual business plan as well as long & short-term plans, validate same with the Deputy – CEO and oversee the execution of these plans. These plans will include Operational and Financial types of plans.
  • Address issues in a timely, cost effective manner.
  • Ensure that Safety & Health procedures are adhered to at all times and take the relevant actions as deemed appropriate.
  • Ensure that the proper Standard Operating Procedures are set up to mitigate any risks of fraudulent/inaccurate transactions; train the personnel under your care to this effect;
  • Maximize income and minimise costs where possible and appropriate;

 Procurement

  • Coordinate and interact with cross discipline team members to make sure that all parties are on track with internal and external clients’ requirements, set deadlines, and schedules.
  • Maintain a sound relationship with other departments within the Evaco Group, as well as general service providers, contractors, sub-contractors and customers for the smooth running of operations and for proper communication at all times.
  • Manage the workflow and processing of invitation for bids, requests for proposals and other procurement methods, as appropriate, for the acquisition of goods, services, information technology and construction services in a professional manner
  • Analyse, evaluate and monitor existing suppliers to ensure that the quality of services/products perfectly match the company’s requirements
  • Source new suppliers both at local and international level and assess whether they are cost and time saving whilst providing quality products/services.
  • Lead stringent and cost-effective contract negotiations with our suppliers to ensure that the best quality products/services are being purchased at the most advantageous price and payment terms.
  • Maintain strong working relationships with strategic suppliers to ensure that cost, quality, and delivery targets are met at all times.

Reporting

  • Report on a regular basis to the Deputy – CEO or any other person as designated by Management; Use dashboards to report on Company`s progression, productivity level, expenses, team & company performance or on any other topic that may prove to be useful for decision-making. This list is not exhaustive, and reporting may be required on any other items as per Management’s requirements.
  • Ensure that the team under your responsibility provides you with the relevant reports on their respective tasks.
  • Provide analysis, tracking and reporting of sourcing trends, performance against budget, and vendor performance on a regular basis to demonstrate progress against strategic objectives.

Warehouse Operations

  • Ensure that the management of the warehouses and relevant procedures are in line with the objectives of the company;
  • Ensure compliance with legal and operational procedures as well as with the company’s policies and vision;
  • Safeguard the warehouse operations and contents by establishing and monitoring security procedures and protocols;
  • Administer the warehousing facilities under your responsibility to ensure their optimum use through efficient design layouts;
  • Implement the relevant procedures and policies for the smooth running of operations under your care;
  • Set up the proper procedures to ensure that the products in the warehouses are properly labelled and easily retrieved;
  • Oversee the creation and maintenance of all documentation relevant to the warehouse, for ease of information/reports retrieval and traceability;
  • Manage stock control and reconcile with data storage system;
  • Review, analyse, and develop actionable plans for productivity and loss prevention
  • Keep track of quantity, stock level, delivery times and other warehousing related key performance indicators to measure efficiency through the proper dashboards;
  • Make sure to meet agreed cost, productivity, accuracy and timeless targets;
  • Oversee and manage the inventory management process;
  • Produce regular reports and statistics on a daily, weekly and monthly basis
  • Any other duties assigned by the Management

Logistics Management

  • The strategic planning and management of transportation
  • Facilitate and implement corrective actions and capacity building to manage entire fleet to achieve company objectives
  • Ensure that the Company follows laws and regulations regarding transportation, including hazardous materials. Resolve any legal issues pertaining to transportation/distribution
  • Arrange fleets and fleets operational staff to provide support to other companies and departments, as required.
  • Streamline and monitor fuel purchase system with assistance of Fuel Cards for all vehicles and drivers
  • Recommend optimal transportation modes, routing, equipment, or frequency and analyse all aspects of corporate logistics to determine the most cost-effective or efficient means of transporting people, products and/or supplies.
  • Oversee the planned maintenance of vehicles. Maintain electronic databases of registration, inspections and maintenance of fleet.
  • Produce regular reports and statistics on a daily, weekly and monthly basis

Finance and Strategy

  • Work in close collaboration with the Deputy – CEO to generate strategies as well as new initiatives and action plans for the company.
  • Ensure that the strategy and the directives given by the Holding Company as well as by the Management of the company are implemented
  • Develop the proper procurement strategy to ensure that all the companies of Evaco Group are supplied with the best services/products whilst taking into consideration both the quality and the financial impact on established budgets. Implement best practices for the Procurement team for a high-end result towards all stakeholders.
  • Analyse, manage and mitigate risks;
  • Elaborate the company’s budget (both monthly and annual) and further to Management’s approval, ensure that the budget of the departments under your responsibility is respected through established work and administrative practices for an optimum follow up.
  • Optimize costs and profits by establishing the proper controls & procedures on costs at all levels.
  • Monitor cashflow with a close collaboration with finance teams of other companies for all inbound and local procurement.

Qualifications/Requirements

  • Master’s degree, preferably in Procurement, Supply Chain Management or any other relevant qualification, and 5+years of related industry experience, or an equivalent combination of education and experience.
  • Strong knowledge of Receiving, Warehouse, and Material Handling operations, methods, and practices.
  • Demonstrated front-line supervisory, planning and organization skills.
  • Exhibits strengths in both verbal and written communications with diverse audiences at all levels of the organization.
  • Microsoft Suite including Excel comprehension preferred.
  • Ability to lead a team-based approach to decision making.
  • Demonstrated ability to work in a results-oriented, challenging environment.
